OCLC numbers in 001, 035, 079 in Symphony records

Guidelines for staff who create and modify bibliographic records

This document outlines what staff should and should not do with OCLC numbers in 001, 035, and 079 fields in Symphony records.

What are these numbers and where do they come from?

OCLC number in 001:

Whenever a record is exported from OCLC WorldCat, its control number (i.e.

Serials--LOCKSS cataloging

Cataloging LOCKSS copies of serials

Data Control Unit will send LOCKSS serials cataloging requests to the "catmarcvs" group account.

Search Symphony for an existing SUL record for print or online, including eLoader records from MARCIt. Disregard Symphony records for the coordinate libraries of Law, Lane, Jackson, and Hoover.

Shelf Arrangement Scheme for Language Lab Materials

Call numbers for dictionaries and sound recordings shelved in Language Lab consist of an alphabetical prefix designating the form of the material, followed by a language code [see table], and then a sequence number.

Shelflisting: Always shelflist call numbers for serials to avoid assigning a duplicate call number. In Symphony, use the List Catalog by Call Number Wizard.
If there is a conflict in the shelflist, check the record to see if the existing serial is a related title, such as the earlier title of a title change.
You may ignore call number conflicts with LAW, LANE, and JACKSON. Do not ignore HOOVER and EAST-ASIA records.

  • Update the bibliographic record for the serial:
    1. Add a 500 note specifying:
      • Enumeration and chronology of the issue the article is in;
      • Title of the article;
      • Statement of responsibility for the article (if applicable);
      • Page numbers of the article.

Below is SUL's policy regarding call numbers when adding copies and volumes to an existing Symphony record:

When adding a copy or volume for the same library to an existing Symphony record, accept the call number and class scheme as used in the Symphony record.

When adding a copy or volume for a different library not already represented in Symphony:

  • If Library of Congress (LC) classification in Symphony, accept the call number and class scheme as used in the existing Symphony library.

Symphony Class Scheme and Call Number Entry Guidelines

The class scheme in Symphony determines how the shelving key is generated, which in turn determines how call numbers sort. The shelving key field should not be directly edited. Consistency of sorting will depend to some extent on spacing conventions used, and on the appropriate use of subfield z to separate the base call number from volume or part numbering. In addition, a browse call number search will return more consistent results if the search is qualified by class scheme.
