Call numbers--Copy cataloging

Non-Usable Call Numbers Following is a list, by no means exhaustive, of non-usable call numbers for push-button cataloging. As we accept call numbers from hundreds of libraries in different bibliographic utilities, we encounter local numbers and practices not followed by Stanford. The following represents what have been identified thus far as not acceptable. Therefore, when in doubt, always consult your supervisor rather than accept a questionable call number.

1. Add an 006 field, unless the main item is nonprint and the accompanying material is print. If you have a disc and it is difficult to determine what it is, you may insert the disc in your computer and examine the file contents to infer the nature of the contents (e.g. if it is all PDF files, it is a text file-TypMat d in the 006, if it starts your music CD player, it is a sound disc)

Collection-level cataloging

Occasionally it may be advantageous to catalog separately published items as a group, creating one catalog record for the entire collection rather than cataloging them individually.

Derived original--Print items when Symphony already has a record for an online digitized version

1. Catalog the print version separately from the online version (i.e., do not catalog over the online record already in Symphony). There should be a separate acquisition record for the print record, which should be used for cataloging.

With the addition of the item level PUBLIC field in Unicorn 2003, there are three places in a Unicorn record where a "local" note intended for public viewing can be recorded. They are:

    • the 590 field of the bibliographic record
    • the 852 |z of the MARC holdings record
    • the PUBLIC field of the item record

    [Note: the 856 |z is not included as it is considered to be different in nature.]

This document outlines the procedures to be followed in order to have Unicorn updated when materials are transferred from one library/location to another within SUL. Two related policies are highlighted here:

    1. Transfer decisions are made by selectors.

    2. Data Control handles the updating of Unicorn in order for Socrates to display correct and up-to-date holdings information. It does not normally handle the physical items.
